Exhibitor Set-Up

 

Booth specs: 

  • Equipped with a 72"w x 42"h table, pipe and drape and 2 side chairs
  • Overall maximum display height limit of 8'
  • Exhibits limited to tabletop displays
  • Wireless high speed Internet is included and available in the Solutions Center
  • One 110v outlet provided. You are responsible for your own cables, adapters, and power strips.


Booth set up:

  • We recommend set up between 4:00pm – 8:00pm on Monday rather than waiting until Tuesday morning.

Booth break-down: 

  • 2:15pm Wednesday, after the final afternoon break.

2 - Conference Registrations Included:

Each vendor is entitled to two full conference registrations. The registrations include complimentary continental breakfast and lunch on Tuesday and Wednesday, as well as, buffet dinner and admittance to Tuesday's Casino Night. Exhibitors are invited to attend sessions provided booths are covered during breaks. 


Please note: If more than two people from your company will be attending the conference at the same time, additional vendor attendees are charged $300/person.

New for 2019 - Vendor Sessions
When you purchase a booth, you're eligible to sign up for 1 of 7 available vendor speaking sessions.  The $700 vendor session fee provides 30 minutes to speak on your topic of choice during select speaking slots Wednesday morning.  
    
Exhibitor Schedule
    Tuesday:      7:30am – 2:15pm  and   5:00pm - 6:30pm
    Wednesday: 7:30am - 2:15pm

The Solutions Center opens at 7:30 am on both days. Vendors should be present during the session breaks and lunch on both days. Booths should also be attended during the cocktail reception and buffet dinner on Tuesday, which takes place in the exhibit area from 5:00pm to 6:30pm. Vendors are not required to remain at their booths during attendee sessions.
 
The Solutions Center closes after the final break, at 2:15pm Wednesday. Please do not break down early! Exhibitors are welcome to work in shifts, but please no more than two people working at a booth at any one time.
 

Hotel Accommodations

Shipping 
All materials being shipped to the hotel must arrive no earlier than Thursday, April 19, 2018. All packages should have the following information indicated clearly on the shipping label:

It would be helpful to notify the hotel with the number of boxes they should expect. You may send an email to
Danielle Stoico with this information.

After the conference, any boxes to be shipped out of the hotel must be properly packaged and labeled with shipping and return address. You are required to call for pickup. The hotel is not responsible for packing or for supplying any packing materials. Any materials left behind without shipping instructions will be discarded three business days after your departure date.


Miscellaneous
  •  Dress is business casual.
  •  Booth should be attended during break and lunch times.
  •  Exhibitors may not break down before the end of the final break on Wednesday (2:15pm).
  •  NEUGC is prohibited from sharing attendee lists.

Space is limited: Vendor space for NEUGC sells out each year, so reserver early. Booth locations are assigned on a first come, first serve basis as payments are received.

Cancellation Policy
Cancellations received 90 days prior to event will be refunded in full. Cancellations received 45-89 days prior to event will receive a 50% refund. No refunds are given for cancellations received less than 45 days before the event.
